Peak Season Is Here: Your Freight Claims Checklist for Q4

Labor Day is in the rearview mirror, and peak freight season has officially started. U.S. trucking peak typically runs August through October, driven by back-to-school shipments and holiday inventory buildup, with a secondary peak before Thanksgiving and Christmas for final retail delivery. More volume means more handling touchpoints, more temporary labor at carrier terminals, tighter delivery windows, and more pressure on drivers and dock workers. It also means more claims. Now is the time to tighten your process. Here’s your 8-point checklist for getting claims processed efficiently and effectively through the Q4 surge.

1. Brief Your Dock Teams Now, Before the Volume Hits

Your receiving team is about to handle significantly more freight per shift. Without a consistent damage documentation protocol, peak season will expose every gap. Print the 8-photo dock protocol and post it at every receiving door. Run a 15-minute refresher: inspect before signing, note exceptions on the POD in specific language, photograph from eight angles, and preserve damaged goods for inspection. 2. Audit Your Carrier Deadline Calendar

Peak season means more open claims running concurrently, which means more overlapping deadlines. Missed deadlines cause 20-25% of all claim denials. 3. Pre-Stage Your Documentation Templates

Don’t wait until damage happens to figure out what each carrier’s claim form looks like. Review the claim submission requirements for your top 10 carriers by volume. Pre-populate templates with your company information, standard commodity descriptions, and contact details. 4. Set a 48-Hour Filing Rule for Peak Season

5. Watch Your LTL Claims Especially Closely

LTL freight is the most vulnerable during peak. More volume in the terminal means more cross-docking, more stacking, more forklift touches, and LTL denial rates already run 50-60% even in normal conditions. During Q4, those rates can climb as carriers process higher claim volumes with the same staff. Strengthen your LTL packaging for peak (double-wall corrugated, proper palletization, corner protectors), and make sure your piece counts are accurate on the BOL. Set calendar reminders for every open claim: check status at 14 days, 30 days (when the carrier must acknowledge receipt), and 60 days. Carriers must provide a disposition within 120 days.
